The 5-Step Formula for Writing Cold Emails with AI That Actually Convert

Why Your AI Cold Emails Are Ignored

If your cold email starts with "I hope this email finds you well," and ends with a 4-paragraph essay about your company's synergies, it's going straight to the trash.

Most people use AI for cold emails by typing: "Write a sales email selling my web design services."

The AI outputs corporate jargon that screams "automated spam."

To get a 5%+ reply rate, you must use AI to achieve personalization at scale.

The 5-Step AI Cold Email Formula

Step 1: The Research Prompt (Data Gathering)

Personalization requires data. If you have a prospect's LinkedIn profile or company website, feed it to the AI.

Prompt (Claude 3.5 Sonnet / GPT-4o):

Analyze this company's website [URL] and the founder's recent LinkedIn posts [paste text].

Identify:

1. Their core target audience.

2. The biggest current priority or challenge they are likely facing.

3. One unique, non-obvious compliment I can give them about their recent work.

Step 2: The "Pattern Interrupt" Subject Line

Your subject line has one job: get the email opened. It should look like an internal memo, not a marketing pitch. Keep it to 1-3 words.

Ask the AI:

Based on the research, generate 10 subject lines. They must be 1 to 3 words max.

All lowercase. No exclamation marks. They should sound like an email from a colleague.

Example: "question about [feature]", "your linkedin post", "[company name] strategy".

Step 3: The Highly Personalized Hook

The first sentence dictates whether they read the rest of the email. Use the compliment generated in Step 1.

Step 4: The Value Proposition (No Jargon)

You need to explain how you solve their problem in one sentence, using terms a 5th grader would understand.

Prompt for the Body:

Write a cold email to [Name].

Rules:

  • Max 50 words total.
  • Grade 5 reading level.
  • Sentence 1: [Insert the unique compliment from Step 1].
  • Sentence 2: I help [their niche] achieve [specific outcome] without [common pain point].
  • Sentence 3: We recently helped [competitor/similar company] achieve [result].
  • Sentence 4 (Call to Action): Soft interest check, no calendar links. (e.g., "Worth a quick chat?")
Do NOT use the words: synergy, leverage, optimize, or solutions.

Step 5: The "Spam Filter" Polish

AI naturally uses complex vocabulary. You must strip it down.

The Final Prompt:

Review this email. Make it sound more casual and conversational, like I'm writing it quickly from my iPhone. Remove any corporate buzzwords. Ensure it is under 50 words.
